DentalRobot Inc. (“DentalRobot,” “we,” “us,” or “our”)respects your privacy. Weprovide this Privacy Policy to explain what information we collect, process,use, store, and share when users install or use Front Desk Dialer, a Chromeextension operated by DentalRobot and designed to help users run high-volumeoutbound calling workflows from Google Sheets. This Privacy Policy applies specifically to the Front DeskDialer Chrome extension and the related services used to operate, support, andmaintain the extension.

Please read this Privacy Policy carefully to understand ourpolicies and practices regarding your information and how we handle it. Byinstalling, accessing, or using Front Desk Dialer, you agree to this PrivacyPolicy. If you do not agree with this Privacy Policy, do not use the extension.This Privacy Policy may change from time to time, and we will communicate suchchanges by posting an updated version of this Privacy Policy. Your continueduse of FrontDesk Dialer after such changes are posted means that youacknowledge the updated Privacy Policy.

Information We Collect and Process

When users access or use Front Desk Dialer, DentalRobot may collect or processlimited information necessary to provide the extension’s functionality. Thismay include user account information, such as name, email address, Googleaccount connection status, login status, and information necessary to connectthe extension with the user’s authorized Google Sheets workspace. Thisinformation is used to authenticate users through Google OAuth, operate theextension, and allow the extension to access or process the spreadsheetinformation authorized by the user.

Front Desk Dialer may process limited contact-related information madeavailable by users through their Google Sheets. This information may includefirst name, last name, phone number, and other spreadsheet fields selected orconfigured by the user for outbound calling workflows; no PHI is allowed orsupported. This information is processed only as necessary to provide thefunctionality of the extension, including reading call queue information fromthe user’s spreadsheet, preparing outbound calls, managing dialing sessions,supporting call tracking, and writing call outcomes or results back to thespreadsheet.

Front Desk Dialer may also process dialing configuration information providedby the user, such as Office Name, Transfer Number, dialing pace, concurrentsettings, selected spreadsheet headers, selected result column, and sessionstart or stop actions. This information is used to configure and operate theoutbound calling session according to the user’s instructions.‍
We may also process call and workflow information, such as call status, callattempts, timestamps, call outcomes, result values written back to thespreadsheet, dialing session activity, and related operational metadata. Thisinformation is used to operate the service, track workflow progress, supportusers, troubleshoot issues, and maintain accurate records related to outboundcall operations.

In addition, DentalRobot may collect limited technical and diagnosticinformation necessary to operate, secure, and improve Front Desk Dialer. Thismay include error logs, diagnostic logs, and usage events related to extensionfunctionality. This information helps us maintain the reliability, security,andperformance of the extension.

Front Desk Dialer does not sell user information, patient information, contactinformation, or spreadsheet information. We do not use patient orcontact-related information for advertising, profiling, or unrelated marketingpurposes.

Chrome Extension Permissions

Front Desk Dialer requests only the Chrome extension permissions necessary toprovide its functionality. Depending on the version of the extension, FrontDeskDialer may request permissions that allow it to store user preferences orsession-related information, communicate with DentalRobot systems and approvedservice endpoints, authenticate users through Google OAuth, access Google Sheetsdata authorized by the user, read spreadsheet headers and rows selected orconfigured by the user, and write call outcomes or results back to the user’sspreadsheet.
Front Desk Dialer’s use and transfer of information received from Google APIs willadhere to the Google API Services User Data Policy, including the Limited Userequirements.

Front Desk Dialer does not use Chrome extension permissions to collect browsinghistory for unrelated purposes. The extension does not use user data forunrelated advertising or marketing purposes. Any access granted throughChromepermissions is used only to provide, maintain, secure, and support thefunctionality of Front Desk Dialer.

How We Use Information

DentalRobot uses the information collected or processed through FrontDeskDialer to authenticate users through Google OAuth, provide access to theextension and its features, connect the extension with the user’s authorized GoogleSheets workspace, read spreadsheet data selected or configured by the user,allow users to configure outbound dialing sessions, initiate and manageoutbound call queues, write call outcomes to the user’s spreadsheet, maintaincall history and operational records, troubleshoot errors, monitor and improvethe reliability and security of the specific user-facing Front Desk Dialerfeatures, protect the service against unauthorized access, misuse, or securityincidents, and comply with applicable legal, contractual, and securityobligations.
We do not use patient-related, contact-related, or spreadsheet information foradvertising, profiling, or unrelated marketing purposes. We do not selluserdata, patient data, contact data, or spreadsheet data.

How We Share Information

DentalRobot may share information only as necessary to operate,maintain,support, and secure Front Desk Dialer. We may share information withservice providers that help us operate the extension, such as cloud hostingproviders, logging or monitoring tools, and communication or telephonyproviders used to place or manage outbound calls. We may also share informationwith internal DentalRobot systems used to provide and support the service, andwith legal or regulatory authorities if required by law or necessary to protectour rights, users, clients, services, or the security of the platform.‍
Service providers are only authorized to process information as needed toprovide services to us or support Front Desk Dialer. DentalRobot does not useuser data, patient information, contact information, spreadsheet information,orpersonal information.

Data Storage and Retention

DentalRobot retains information only for as long as necessary to provideFrontDesk Dialer, operate, maintain, secure, troubleshoot, and support theuser-facing functionality of Front Desk Dialer, comply with legal orcontractual obligations, resolve disputes, and enforce agreements. Spreadsheetdata, patient or contact-related information, dialing configurationinformation, and call workflow information are retained only as needed tooperate the service, support users, maintain records necessary to provide theoutbound calling workflow requested by the user, such as call status,timestamps, and call outcomes, or comply with applicable obligations.‍
Users or authorized clients may request access, correction, or deletion ofpersonal information by contacting us using the contact information below. Wemay need to verify the identity and authority of the requester beforefulfilling a request. In some cases, we may be required to retain certaininformation to comply with legal, contractual, security, or operationalobligations.

Data Security

DentalRobot uses reasonable administrative, technical, and organizationalsafeguards to protect information processed by Front Desk Dialer againstunauthorized access, use, alteration, disclosure, or destruction. Thesemeasures may include access controls, authentication, encrypted transmission, monitoring,and limiting access to personnel or service providers who need the informationto operate or support the service.
However, no method of transmission or storage over the internet is completelysecure, and we cannot guarantee absolute security. Users are responsible forusing Front Desk Dialer only through authorized accounts, selecting appropriatespreadsheets, ensuring they have the right to use the information included intheir spreadsheets, and complying with applicable laws, agreements, andorganizational policies.

Children’s Information

Front Desk Dialer is intended for use by business users and is not directed tochildren under the age of 13. We do not knowingly collect personal informationdirectly from children through the extension. If we become aware that we havecollected personal information from a child without appropriateauthorization,we will take reasonable steps to delete that information.‍
Third-Party Services

Front Desk Dialer may rely on service providers to operate certain parts of theservice, such as hosting, logging, monitoring, and communication or telephonyservices. These service providers may process information only as necessary toprovide services to us or support the functionality requested by the user.Their processing of information is governed by their own privacy and securitypractices, as well as applicable agreements with us.

User Choices and Data Requests

Users control what spreadsheet information is made available to FrontDeskDialer by selecting the Google Sheets workspace, headers, rows, and columnsused with the extension. Users also control when to start, pause, or stopoutbound dialing sessions.

Users or authorized clients may contact DentalRobot to requestaccess,correction, or deletion of personal information processed through FrontDeskDialer. We may request additional information to verify the identity andauthority of the requester before responding to the request. In some cases, wemay be required to retain certain information to comply with legal,contractual,security, or operational obligations.

Google User Data

Front Desk Dialer uses Google user data only to provide or improve user-facingfeatures of the application, including authenticating users through GoogleOAuth, accessing Google Sheets authorized by the user, reading spreadsheetrows, headers, and columns selected or configured by the user, managingoutbound calling workflows, and writing call outcomes or results back to theuser’s spreadsheet.

Front Desk Dialer does not use Google user data for targeted advertising, useradvertisements, personalized advertisements, retargeted advertisements,interest-based advertising, selling to data brokers, providing data toinformation resellers, determining credit-worthiness, lending purposes,creating unrelated databases, or training AI models.

Front Desk Dialer does not sell Google user data or use Google user data forunrelated marketing, profiling, or unrelated product improvement purposes.

Notice of Changes

DentalRobot may update this Privacy Policy from time to time. When changes aremade, we will update the effective date or last updated date displayed on thispage. Continued use of Front Desk Dialer after changes are posted means thatyou acknowledge the updated Privacy Policy.
